| Entering Standard Addresses |
Always "tab" (rather than use your mouse)
between fields. This will automatically take you from the "Address
Location Line #2" (highlighted
in above display) to
the zipcode field. Enter the zipcode - if it exists, the corresponding city
and state will be displayed. If it doesn't exist, a dialogue box will pop
up for entry of city, state and country. |
| ZIP + Four |
Zip + Four codes are entered as above with a
"-"(dash) separator after the fifth digit. Suppose a vendor's
zipcode is 34698-1741. If 34698 exists in your database the city
will be displayed and the four digit extension will be stored separately
in the vendors record, if 34698 doesn't exist the city dialogue box will
pop-up. |
| Famous Addresses |
Ego may cause a new customer to say that his
address is Hollywood rather than Los Angeles. But another previously
entered customer may claim that 90004 is simply Los Angeles - and this city
will be displayed when you enter the new customer's address. If you want
the zipcode to display Hollywood for the new customer add a "."(period)
suffix to the zipcode and then 90004= Los Angeles and 90004.=Hollywood.
If you need more than one alias address you can also use a colon ":", two
periods ".." or any combination of these two characters for a suffix. (Zip plus
four can't be used if you add a suffix to the zipcode.) |
| Zip Code Search |
Don't know the zipcode? Enter the city or
state in the zipcode field and then right click. A dialogue box will
display the matching records. Select one or enter a new zipcode |

No Zip? |
If you don't know the zipcode at the time of
data entry create a fictitious one and then make a note to edit it later. Correct
zipcodes are essential for order processing and freight calculation! Some SIM*plicity
systems now have a special "free-form" zipcode field usable only in the
"Ship-To" data box. If this is installed: - Tab to the zipcode
field and enter it - if it is valid the corresponding city and state
will be displayed. If that zipcode is not found in the database a dialogue
box will give you a choice of entering it or entering a free-form city,
state, country combination text field. (This is limited to 42
characters.)
- If you know there is no zipcode, or you don't want to use one, just
clear the zipcode box and press tab to bring up the free-form dialogue
box.

| Mix and Match Zip/Postal Codes |
There is no problem in entering a mix of
postal codes or zipcodes in the code field. Just remember when
entering a new code to select the country field (unit code) from the drop
down list |
| Editing City,
State and Zipcode Data |
These are maintained as standard Master Records and can be edited by
selecting the database tab on the left side accordion. The City Key
is "Z0" and the State Key is "Z9". With the exception of the "country" field there is an unlimited #
of records (pleas contact your system administrator to add or change
countries). CAUTION: Changing a record in either of the keys
affects all customer, employee and vendor information that refers to that
record. (See "Famous Addresses" above for an alternate cure
to multi-city names for a single zipcode.) |
| Displaying and
Printing Country Name |
Default display of State and Country Names is
the abbreviation (code) used in the Z9 key. If the record selected for
Toronto is "ONT" The last line of the address will read Toronto,
ONT 1W5 4X7 . You have
10 characters in the code box so one solution is to change the code to "ONT
CANADA". A better solution is to prefix the code with a "$" which will
then print the full description of the record (30 characters( rather than
just the brief code). Selecting "$ON T" will then print Toronto,
ONT CANADA 1W5 4X7 |
| Automatic
Freight Calculation |
Automatic freight calculation is normally
based on zip and postal codes. SIM*plicity reads the last word of the ship
to line when it can't find a standard zip or postal code to calculate
freight rates based on weight and location. (Program logic accommodates
standard postal code formats of two groups of three characters separated
by a space.) |
